Billfire, LLC — privacy notice

We collect less than you’d expect, and we sell none of it.

Billfire, LLC makes VALET360, accounts-receivable software that distributors log into. We are not an ad network, a data broker, or a consumer app. Here is what we collect, why we have it, and what you can tell us to do with it.

The short version

We do not sell your personal information, and we never have.

We do not share it for targeted advertising.

We do not track you across other websites.

Data inside VALET360 belongs to the customer who put it there. We hold it to run the software, and for nothing else.

Who this is for

Three groups of people end up on this page. Visitors to billfire.com. People at distributors who are talking to us about buying VALET360. And people who use VALET360 every day because their employer bought it.

If you are in that third group, your employer decides what goes into the system and how long it stays. We handle that data on their instructions. Ask them first, and we will help whoever asks.

What the website collects

Very little. There are no advertising pixels on this site, no visitor profiles, and nothing about you goes to a data broker. Our host records the ordinary technical details every web server records — which pages were requested, browser type, and an approximate location from your IP address — so the site stays up and we can see which pages people actually read.

We do not know who you are until you tell us.

What happens when you contact us

If you fill in the form on our contact page, we collect exactly the fields you filled in: your name, work email, company, phone if you offered it, and whatever you wrote in the message. A person reads it. We use it to answer you, and to run the conversation if it turns into one.

If you asked for AR benchmarks, we will email those to you until you tell us to stop. Every one of those emails has an unsubscribe link that works.

What lives inside VALET360

Our customers load their accounts receivable into VALET360: customer records, invoices, payment history, the names and email addresses of people who work at their customers, notes their team writes, and logs of calls and messages.

That data belongs to our customer. We process it to run the service, keep it available, support it when something breaks, and keep it secure. We do not mine it, we do not use it to train anything, and we have not built a side business out of it.

What we never do

We do not sell personal information. We do not share it for cross-context behavioral advertising. Neither has ever been part of how this company makes money, and if that were ever to change, this page would say so before it happened rather than after.

Who else touches it

A short list of vendors that make the software work: hosting, email delivery, error monitoring, payment processing, and support tooling. Each one is contractually limited to the job we hired it for and cannot use the data for its own purposes.

We also hand over information when the law genuinely requires it, and we tell the affected customer unless we are legally forbidden from doing so. If Billfire is ever acquired or merged, data moves with the business, and you will hear about it.

How long we keep it

Customer data stays in VALET360 for as long as the customer has an account with us. After a contract ends we return or delete it on the schedule written into that contract. Sales and marketing contacts stay until you ask us to remove you, or until it is clear the conversation has ended. Routine server logs roll off on a short cycle.

How we protect it

Data is encrypted in transit and at rest. Access is limited to the people who need it to do their jobs, and those people are screened and trained. Nobody can promise perfect security and we are not going to pretend otherwise. What we will promise is that we take it seriously, and that we tell customers quickly when something goes wrong.

What you can ask us to do

Depending on which state you live in, you may have the right to ask what we hold about you, get a copy of it, correct it, delete it, or opt out of targeted advertising and profiling. That last one is easy, because we do not do it.

Ask, and we will do it. There is no charge, and we will not treat you any differently for asking. Email us with privacy in the subject line. We will confirm you are who you say you are before we act, and we will come back to you within 45 days. If we turn a request down, tell us why we are wrong and a person will look at it again.

If the data you are asking about sits inside VALET360, it belongs to our customer rather than to us. Send your request to them, and we will do whatever they ask us to do with it.

Children

VALET360 is business software sold to companies. It is not intended for anyone under 18, and we do not knowingly collect anything from children. If you believe we have, email us and it will be gone.

When this changes

We will update the date below and post the new version here. If a change actually matters — a new category of data, or a new reason we use it — we will say so plainly at the top of the page instead of burying it in a paragraph.
